Vacancy Description:

Our client is a leading Construction Main Contractor working on major Design & Build projects across the UK. Together we are actively looking for an experienced Executive Assistant to work along the Project Director of Major Projects based in London on a permanent basis.

Executive Assistant Responsibilities:

-Acting as a first point of contact: dealing with correspondence and phone calls.
-Dealing with Clients, Representatives, Subcontractors and Site Teams
- Day to day administration including: answering phone calls, responding to enquiries, photocopying etc.
-Maintain and manage email accounts including filtering emails, highlighting urgent matters and printing attachments.
-booking and arranging travel, transport and accommodation.
-Collecting electronic copy of the latest document revision prior to documents being issued.
-Document Management: create & maintain efficient standardised electronic & paper filing system.
-Preparing templates and standardising reporting and processes to conform.
-Proof reading letters, emails and any necessary documents
-Present a highly polished and professional image at all times on behalf of the company in all circumstances, and most particularly with external stakeholders.
-Raising Purchase Orders and updating invoice and budget spreadsheet.
- Supporting the Document Control manager with project drawings, specification, process management

Executive Assistant Experience Required:

- Experience working with a Construction Main Contractor.
- Excellent IT skills - MS Office (Word, Excel, Power Point)
- Professional, organised, enthusiastic, can use one own initiative
- Excellent project management skills; proactive in taking on assignments and responsibilities with a willingness to learn to contribute to the success of the team.
- Ability to multi-task and prioritise; flexibility to adjust workload to meet deadlines
- Juggle multiple assignments, and work in a dynamic environment
- Able to professionally handle numerous tasks simultaneously with interruptions and constantly changing priorities.
- Highly professional, with impeccable organisational skills and able to handle multiple tasks to an exceptional standard.
